How We Use Information

Bower Hall uses personal information to:

  • Review accommodation applications and room preferences.
  • Process deposits and accommodation payments through secure payment providers.
  • Prepare, issue and manage licence agreements and related booking documents.
  • Contact applicants, residents, parents or emergency contacts where needed for accommodation administration, safety or support.
  • Manage availability, allocation, resident records, finance records, security and legal compliance.
  • Protect the website, booking flow, property, staff and residents from misuse, fraud or security issues.
  • Run optional analytics or marketing only where the relevant consent has been given.

The legal basis may include steps before entering a contract, performance of a contract, legal obligations, legitimate interests in running safe accommodation, and consent where required for optional tracking or specific sensitive information.

Payments, Contracts and Service Providers

Bower Hall does not store card details on this website. Payments are handled through Stripe-hosted checkout and related payment services.

Booking and administration records may be processed using trusted service providers, including website hosting, Airtable records, email delivery, contract document tools and payment services. These providers are used only where needed to operate the accommodation and booking process.

Cookies and Similar Technology

The site uses strictly necessary technology for security, consent storage, booking flow and basic site operation. These are required for the service to work.

Analytics and marketing cookies or pixels are not active unless the visitor chooses to allow the relevant purpose. If Google, Meta, TikTok or similar tracking is added later, it must remain off until the visitor gives consent for that purpose.

Sharing Information

Bower Hall may share information with service providers and professional advisers where needed for accommodation administration, payment processing, contracts, email delivery, hosting, security, accounting, legal compliance or emergency response. Information is not sold.

Retention

Information is kept only for as long as needed for the accommodation application, booking, residence period, finance records, legal obligations, safety records and legitimate business purposes. Where information is no longer required, it is deleted or anonymised where practical.
